Event Management
Successful events begin with identifying objectives and allowing plenty of time for planning and preparation. Event Management helps consolidate the processes. Events at BYU-Idaho are a shared stewardship with a distinction between the sponsor and the event coordination staff:
Coordinated through Event Management
- Confirming date and space availability
- Custodial and room setup
- Audio/visual needs (lights, sound, teleprompter, microphones, video)
- Ushering and emergency services (required if over 1,000 guests in attendance)
- Ticketing (arrange through Ticket Office located in Kimball Building)
Responsiblities of the Sponsor
- Calendar a date and schedule location (pre-check for potential conflicts by browsing for space; acquire signatures on Student Event Request Form, if needed; submit scheduling request online or contact the Scheduling Office)
- Identify target audience (estimate capacity and the type of guests attending)
- Speaker clearance, if applicable
- Develop appropriate communication (counsel with University Communications or Alloy)
- Produce printed programs, invitations, or promotional material (work with University Press)
- Catering and food (order through Catering Services of University Food Services)
- Hosting guests and providing seating charts
- Program and conducting notes

Community Requests
Event space is allocated on an institional mission based priority. Preference is given to serving BYU-Idaho students rather than becoming a community event center. Requests from the community must be submitted in advance for consideration (but no earlier than 90 days prior to the date being requested). More...
Scheduling requests must be submitted in advance. No requests will be accepted later than 3 working days in advance.
