Visitor Access to Technical Resources Procedure
Purpose
To set forth a procedure, as referred to in the Computer Security and Use Policy, for visitors to request access to Information Technology Resources.
Definitions
BYU-Idaho IT resources are primarily for uses that further the mission of the University (see BYU-Idaho Mission Statement). Uses that are deemed auxiliary to that mission may be granted the use of some IT resources through this visitor access procedure. Preauthorized persons are those that have officially been invited to campus for an event or purpose, sponsored by the University or its authorized agents, for a justifiable academic or administrative reason. Guests are those visiting campus for non official business. Guests may be granted the use of some IT resources through this visitor request procedure.
Points and Procedure
1) All University computer and network resources are for the sole use of authorized faculty, staff, students, and others who have been approved by appropriate administrators. Approval does not guarantee use of all resources. Appropriate administrators are identified as the Information Technology Council. Guests, as defined above, are not granted use of computer equipment. One guest exception is the Family History desktop lab computers, whose use and access are controlled by the Library for Family History purposes. Family history guests should contact the Library for Family History requests at 208-496-2317.
2) Guests, as defined above, may obtain access for the use of projector and video equipment while on campus by contacting the Computer Help Desk at 208-496-9000. Guests must provide their own laptop, and adaptors as necessary, for use in conjunction with projector and video resources. Guests will not be granted wireless network access, and are prohibited from attempts to utilize wired jacks for network access which is an illegal act prosecutable under Idaho State Law. TEC stations are not project work stations or for composing presentations.
3) Those BYU-I personnel responsible for sponsoring preauthorized person/s, as defined above, can request that visitor/s be granted temporary access to the wireless network. Requests are made on-line at: http://web.byui.edu/visitoraccounts. Sponsors will be notified of request approvals or denials. Preauthorized person/s must provide their own laptop for use in conjunction with wireless access. Please allow 48 hours for requests to be reviewed.
4) The granting of network access does not guarantee access to all internet resources. The University retains the right as a private institution, according to campus policy and church standards, to filter / block some internet content and to log internet access and attempted access. Visitors should be aware of these standards and act accordingly while on campus.
5) Each visitor granted access must provide an appropriately configured laptop computer to access the internet using a wireless account.
6) For security reasons, visitor wireless account usernames are unique and assigned only to one individual. Usernames and passwords must not be shared with anyone else and the assigned person is fully responsible for all activity on that account.
7) Requests for sponsored, preauthorized person/s must be done in advance of the visitors’ arrival on campus to ensure that user information can be communicated to them via e-mail. IT should be notified at least two weeks in advance regarding large events. IT requests an allowance of at least 48 hours for single or small requests. Delays may be experienced if requests are not received in a timely manner.
8) IT Computer Help Desk personnel can be made available for assisting preauthorized event users. Your request for assistance should be made at the time of your visitor access request.
9) Unauthorized use or attempted use of University computers and network equipment including non public wired jacks is prohibited.
10) BYU-Idaho reserves the right to restrict computer and network access to ensure that university computer resources are available for core academic needs; that the boundaries of academic / education status are respected; that subscription service and software license contracts are followed; that confidential information is protected; that church, state, and federal regulations are followed; and that no intentional or unintentional damage occurs through inappropriate access. State law prohibits the unauthorized use of computer / computer networks.
Idaho statues 18-2201 and 18-2202, prohibits accessing, attempting to access, altering, or damaging a computer, system, or network without authorization. It further prohibits the use of such systems (even by one who has authority) with the intent to commit crime.
