Creating a PDF using Adobe InDesign
There are two occasions when you should use a PDF:
- For Approval - Use SMALLEST FILE SIZE
- For Printing - Use HIGH QUALITY PRINT
- Open your InDesign document.
- Select EXPORT from the File menu to open the Export window.
- Rename the file in the Save As field, if necessary.
- Click the drop-down arrow in the Format field. Select ADOBE PDF if not already selected
- Click SAVE to open the Export Adobe PDF window
- Select HIGH QUALITY PRINT when printing, or SMALLEST FILE SIZE when emailing for approval, from the Adobe PDF Present field. Check OPTIMIZE FOR FAST WEB VIEW if unchecked.
- Click EXPORT. The Generating PDF window will close automatically upon completion.

Creating a PDF using Microsoft Publisher
There are two occasions when you should use a PDF:
- For Approval - Use MINIMUM SIZE
- For Printing - Use HIGH QUALITY PRINTING
- Open your Publisher document.
- Select PUBLISH AS PDF OR XPS from the File menu to open the publish window
- Rename the file in the Save As field, if necessary.
- Click the drop-down arrow in the SAVE AS TYPE field. Select PDF (*.pdf) if not already selected.
- Select HIGH QUALITY PRINTING when printing, or MINIMUM SIZE when emailing for approval, form the Optimize For menu.
- Click PUBLISH
